Activity Report

Users with export rights can export or extract an activity report from Highrise. If you don’t see an Export  link on your Contacts  page, please contact your Account Owner or an admin to grant you export rights.

The activity report answers the following questions:

  • What contacts or leads have me or my team interacted with recently?
  • And how much progress did we make?

The activity report exports a CSV file that includes the following information for the time frame you select:

  1. Highrise ID
  2. Contact Name
  3. Highrise URL
  4. Created date of contact
  5. Number of notes created
  6. Number of emails sent to a contact
  7. Number of emails received from a contact
  8. Number of tasks completed
  9. Names of any Tags added
  10. Your account's custom fields

Generate an activity report by navigating to your Contacts  page.

Filter by any fields/tags to select a segment of contacts or choose all contacts. Next, click the Generate activity report  link on the right side of the Contacts page.

Here choose a date range (1 day, 7 days, 14 days, 30 days) to generate a CSV file new contacts added as well as counts of the amount of notes added, tasks completed, emails sent and received, tags added, and any custom field changes for your segment of contacts.

Highrise gives you two options to export your information:

Streamlined: The default option, only exports columns that have data for at least one contact.

Complete: Exports all the columns with or without data in your account.

Once ready, click Generate Report  to receive the activity report. You will receive an email from system@highrisehq.com  with the CSV file attached once completed. It should take only a few minutes depending on the size of your file.

Please keep the following in mind about your report:

  • Contacts without activity are excluded from the report. Only new contacts added or existing contacts with any notes added, tasks completed, emails sent or received, tags added, or any custom field changes will be included in the report. For example, if you select a segment of 100 contacts and only 40 have activity, only 40 contacts will be included in the export.
  • The numbers or counts in these reports include both public and private information. There are no permission checks when counting these statistics. Any information that has been trashed or deleted does not appear in the report.
  • Emails and notes are only counted once per contact. If a note is added to person, and that person is associated with a company, the note will only be counted on the person. Not the company.

Schedule an activity report export

Users with export rights can also schedule an export of all activity from Highrise.

The scheduled report is available via email for three time frames (daily, weekly, monthly). It generates the same activity as mentioned above for all contacts or leads in your account.

Schedule an activity report export by navigating to your Highrise notification settings under the My Info  section of your account settings.

Click the Phone/email notifications  tab.

Find the Activity Reports  section and mark off the box to be emailed the latest activity. Choose the Frequency of activity reports  from Daily, Weekly, or Monthly.

As a reminder, if you don’t see this option in your notification settings, it's because you don't have export rights in your account. Please contact your Account Owner or an admin to grant you export rights.

Once you've enabled the scheduled report, you will receive it via email from system@highrisehq.com based on the following time frames:

  1. Daily: every day at 6 am (based on your time zone settings), you'll receive an email with all of yesterday's activity.
  2. Weekly: each Monday at 6 am (based on your time zone settings), you'll receive an email with the previous seven days of activity.
  3. Monthly: on the first day of each month at 6 am (based on your time zone settings), you'll receive an email with the previous month's activity.

In the email, you will find a CSV file attached of all contacts with activity during those time periods and the following information:

  1. Highrise ID
  2. Contact Name
  3. Highrise URL
  4. Created date of contact
  5. Number of notes created
  6. Number of emails sent to a contact
  7. Number of emails received from a contact
  8. Number of tasks completed
  9. Names of any Tags added
  10. Your account's custom fields
